To further strengthen personal integrity and security in Flex HRM, we are now launching an enhanced feature for managing employees with protected population registration. The new functionality ensures that sensitive address details are handled correctly and in accordance with current legislation, directly within the system.
What is protected population registration?
Protected population registration is a protective measure from the Swedish Tax Agency for individuals facing threats or persecution. It means the person's home address is not listed in the official population register. Instead, all mail is sent via the Tax Agency, which then forwards it to the employee. Our new feature is specifically designed to handle this situation.
Simple and Secure Handling in the Employee Register
To activate the feature, a new checkbox, Protected population registration, is now available in the employee register under the Employee information tab. You will find it just above the address fields.
When you check this box, the following occurs:
- The standard address fields are cleared and become read-only. This prevents an address from being accidentally registered, for example, via a data import.
- A new field, Forwarding address, appears. Here, you enter the Swedish Tax Agency's address to be used for mail handling.
Next to the checkbox, there is an information icon that explains in detail how mail forwarding works and why the address fields are replaced.
Full Control with New Permissions
To ensure that only authorized users can manage this sensitive information, we have created a new permission in the system. Under Employee > Personal data in the role administration, you will now find Protected population registration. This permission controls who can view and edit the information. The feature is available to all customers with a license for HRM Employee and/or HRM Payroll.
Smoother New Hire Process
We have also adapted the new hire process. If a new employee has protected status, you can now complete the hiring process without needing to fill in the normally mandatory address fields, creating a smoother and more secure process from the start.
