Greater control and reduced risk of errors in Flex HRM Payroll
As a payroll specialist, you know that small errors in basic data can lead to big problems in payroll. We've updated SmartDetect, our intelligent alert feature in Flex HRM Payroll, with new alerts that give you even greater accuracy and control. The new alerts will help you identify and resolve anomalies in good time before payroll is paid.
Four new alert rules in SmartDetect
The new alert rules are designed to capture complex scenarios and potential pitfalls in the data transferred to the payroll system.
1. Alert for multiple employment periods during the pay period
This alert helps you to detect when an employee has had several short employment periods during the same pay period. This is particularly important for hourly employees, as different terms of employment or hourly rates of pay may apply to different sub-periods. A warning on the pay line signals that you may need to split the hours worked per subperiod for correct calculation.
-
Rule: A warning is triggered if there is more than one period of employment that overlaps with the date range on a payroll transaction.
2. Warning for transaction dates outside the employment period
Prevent incorrect payroll calculation caused by incorrect dates. If a transaction date is outside an employment period, it can result in important payroll data, such as monthly salary, being missing for the period. This check ensures that all time and payroll transactions are linked to an active employment period.
-
Rule: You will receive a warning if any day in the date range of a payroll transaction is outside an employment period.
3. Warning for locked payroll rows affecting retroactive pay
Manually locking a payroll row means that you have overridden the system's calculation and forced e.g. a specific amount. If this line is the basis for retroactive pay, the automatic retro calculation will not be correct. This warning will alert you to these lines so that you can manually review them and ensure that retroactive pay is calculated correctly.
-
Rule: Warning is given on a payroll row if it is locked and the linked payroll type is marked as a basis for retroactive pay.
4. Warning if Bank Account Missing
Get an early warning that an employee is missing bank account details. This gives you plenty of time to complete the information in the personnel file before it is time for payment, reducing the risk of missed or delayed payments.
-
Rule: A warning is triggered in payroll processing if an employee's bank account is missing.
